A reviewable approach
For every field, record purpose, source, readers, derived copies, retention and deletion behavior. Review analytics and support tooling because they often recreate sensitive data outside the primary product boundary.

The boundary to keep visible
Privacy-first does not mean zero data, anonymity or automatic legal compliance. The appropriate basis, notices and processor terms depend on the product, people and jurisdiction.
Make each data field defend its purpose
A useful data inventory names the field, collection event, user purpose, readers, derived copies, retention rule and deletion path. For example, a delivery timestamp may be needed to reconcile a message but need not be copied into unrelated marketing analytics. A field that is no longer needed should disappear from new collection and from old stores under a stated schedule.
Review support exports, notifications, observability and optional AI features alongside the primary database. A message body can be protected in one store and still appear in a crash report or remote processing request. Deletion must account for queues and backups honestly; an immediate UI disappearance does not imply instant removal of every retained copy.
